Address book
Address book shows two kinds of contacts side by side on one screen: your broadcaster’s team members (the editors and administrators who already have a Newsroom account) and standalone contacts — externals such as press officers, municipal spokespeople, or recurring guests that you keep track of yourself.
Address book is an optional feature, enabled separately per broadcaster. If you don’t see “Address book” in the menu, this feature isn’t enabled for your broadcaster yet.
Team members
The “Team members” section shows the same users as Managing users, but read-only: clicking a team member shows their name, email address, and (if known) phone number. To add, remove, or change the role of a team member, do that via Managing users, not here.
Contacts
The “Contacts” section is your own, broadcaster-wide list of external contacts. Use the search field at the top to search by name, company, or email address. Clicking a contact opens the editable details on the right:
- Name — required.
- Email, Phone, Company — free text fields, also searched together with the name by the search field.
- Job title
- Notes — free text field, for example for call notes or availability info.
Categories
Above the contacts list you’ll see a row of category chips, starting with “All”. Type a name in the field next to it and click “Add” to create a new category — for example “Press officers”, “Municipality”, or “Regular guests”. Categories are broadcaster-wide and shared: any user with access to Address book can create, assign, and delete them, not just administrators.
While editing a contact, use the checkboxes to assign one or more categories — a contact can belong to multiple categories at once. Click a category chip to filter the list to only contacts in that category; click “All” to clear the filter again.
Adding or removing contacts
Address book itself has no button to create a new contact or to permanently delete one. New contacts originate from Productions, where when planning a production you can create a contact and immediately link it to that production — that contact then also appears here in Address book. “Removing” a contact from a production only unlinks it from that production; the contact itself stays in Address book.
If you create a contact from Productions with an email address or phone number that already belongs to an existing contact, Newsroom automatically links it to that existing contact instead of creating a duplicate — even if it was previously removed from another production.
Relationship with Productions
Contacts from the Address book are reused within Productions: there you link one or more contacts to a production, each with their own role for that specific production (for example “Camera operator” or “Presenter”). This role belongs to the link with the production, not to the contact itself — the same contact can have a different role in another production, and the role isn’t shown or editable here in Address book.
Email address and phone number end up in the automatic production call sheet. Link a contact to a production, and their name, role (for that production), email address, and phone number appear in the PDF call sheet Newsroom automatically compiles every evening. If the contact has an email address, they receive that email themselves too, just like the production team members — there’s no separate setting for this. See Productions for the full explanation of the call sheet.
