General information for a post
This is the first section of the post editor. As soon as title, category, publication-from, and priority are filled in, Newsroom creates the post automatically — there’s no separate “create” button. Later changes to these fields are saved automatically (half a second after your last change).
Title
As you type, Newsroom automatically checks whether an archive post with (nearly) the same title already exists (case-insensitive, trimmed comparison). If so, a warning appears with the title of the post found — this doesn’t block creation, it’s purely a heads-up to prevent accidental duplicate posts.
Category
Depending on a broadcaster setting, you choose either a single category, or, if multi-category is enabled for the broadcaster, multiple categories at once.
The category is more than just an organizing label inside Newsroom: for WordPress and Joomla, a mapping set up by your broadcaster determines which category the post goes into on the website (see Routing: WordPress and Routing: Joomla) — if you pick multiple categories, Joomla still only ever uses the first one. Each category also has its own background image for automatically generated TV pages, configurable via Managing categories.
Regions
Besides the category, you can also link a post to one or more regions — useful for local news broadcasters who want to organize posts by neighborhood or village. You get a searchable list of checkable regions, with a filter to show only selected or unselected regions, plus buttons to select or deselect all at once. Every check or uncheck is saved immediately, with no separate confirmation step. If your broadcaster has more than 15 regions, they’re spread across multiple pages with buttons to go to the previous/next page. If your broadcaster hasn’t created any regions yet, this block just shows the text “No regions” instead of a list — create them first via Manage regions.
“Select all” and “Deselect all” work across all your regions, even if they’re spread across multiple pages (after any search filtering) — you don’t need to go through each page separately. Both buttons and the page buttons are temporarily disabled while updating. If updating fails for some of the regions (for example because of a brief connection issue), a message shows how many regions failed — try again in that case.
Publication from / to — this determines when the post is actually sent out
This window drives automatic publication and is also a real visibility boundary. Newsroom checks every minute which posts are ready: once publication from has passed and publication to hasn’t yet, it sends the post out once to every connected and enabled channel (website, social, FTP, etc. — see Publishing to your channels). If publication to already falls before that moment, the post is not published.
By default, publication from is set to the current moment, rounded to
the nearest quarter hour. If you leave publication to empty, Newsroom
automatically fills it in on creation with publication from plus a fixed
number of days (4 by default, configurable per broadcaster, see Managing
general settings).
Newsroom checks that publication to is after publication from (if
they’re equal, saving isn’t possible) and shows a warning — not a block —
if the window is shorter than one hour.
Priority
Here you choose an urgency level with three stars: 1 star (“Normal urgency”, default), 2 stars (“High urgency”), or 3 stars (“Breaking news”).
Keywords
Further down in the editor (not among the fields above, but later in the post), you can add free-text keywords, for example “local elections” or “severe storm” — or ask Newsroom for AI suggestions with the “Ask AI for keywords” button (see also AI settings). A single keyword can be at most 50 characters long; there’s no limit on the number of keywords on a post. Keywords serve three purposes:
- Internal: they help you and colleagues quickly find related posts.
- As a starting point for social media: as soon as you publish a post to Facebook, Twitter/X, YouTube, TikTok, or Instagram, your keywords are already prefilled there as suggested hashtags/tags — you can still adjust them per channel before publishing (see Publishing to your channels).
- For reporting: the keywords on all your published posts are also summarized every month into an overview of the most-used keywords over the past few months, found under Settings > Reports — useful for spotting which topics have come up often lately.
“Ask AI for keywords” replaces your keywords, it doesn’t add to them. The button suggests 5 new keywords by default (never more than 10) that aren’t already on your post, and applies them right away — any keywords you added manually before that are removed, not kept. If you want to combine an AI suggestion with your own keywords, add your own keywords again manually after clicking. If the request fails, an error appears and your existing keywords stay unchanged.
Newsroom Connect for this post
Further down in the editor you’ll also find a toggle to share this specific post via Newsroom Connect.
The broadcaster list below it only shows broadcasters you’re actually connected with. You can check or uncheck each broadcaster to include or exclude it from sharing (broadcasters you’re connected with are checked by default). See the Newsroom Connect settings page for how to set up a connection with a broadcaster.
Unchecking a broadcaster doesn’t take back a copy it already imported. If a broadcaster already imported this post (see Inbox) — which creates a fully separate post of their own — that copy simply stays as it is if you later uncheck the broadcaster or turn the whole toggle off. Unchecking only stops the broadcaster from seeing or (re-)importing this post going forward; it doesn’t undo anything already copied.
If your broadcaster doesn’t have Newsroom Connect enabled, this block shows no toggle at all — just a message that Newsroom Connect isn’t enabled for your broadcaster. See Newsroom Connect for how to turn it on.
Editing at the same time as a colleague
Newsroom prevents two editors from working on the same post at the same time and accidentally overwriting each other’s changes. As soon as you open an existing post to edit it, Newsroom claims that post for you. If a colleague tries to open it in the meantime, they immediately see a message that you’re already editing this post, with a button to go back — they can only open the post once you close it or your claim expires.
This claim lasts 5 minutes and is automatically extended for as long as you keep the post open (every minute, in the background). If you close the post, or the extension fails to go through for more than 5 minutes (for example due to a prolonged network issue), a colleague can take over the post.
If a colleague still manages to save the post while you’re editing it (for example because they had it open in another tab already), they get a clear error message naming you, instead of their change silently overwriting yours.
Involved contacts
Further down in the editor you can link existing contacts from the Address book to this post, for example someone you interviewed or a press contact. Search by name or email address and pick a contact from the results; contacts already linked to this post no longer appear among the results. When linking, you can optionally add a free-text role (for example “Interviewed”, “Press contact”, or “Quote”) — there’s no fixed list, just a text field. If you link the same contact again, the newly entered role replaces the previous one instead of creating a second link. You can unlink a linked contact directly from the list, which shows the role (if filled in) right alongside it.
This block isn’t available for every broadcaster. It only appears if the “contacts” broadcaster feature is enabled — if it’s off, the section is missing entirely, even for an already-saved post. If the feature is on, the block only appears once Newsroom has created the post (that is, after title, category, publication window, and priority have been filled in) — a brand-new, not-yet-saved post won’t show it yet.
You can only link an existing address book contact here — creating a new contact isn’t possible from the post editor itself, but you can from Productions or the address book itself. This link is also completely separate from the contacts you can link to a production: the same contact can appear on both, independently of each other.
This is purely internal bookkeeping: neither the linked contacts nor their role are ever visible to readers, and they have no effect on source attribution when publishing.
Workflow
Fill in the title
Watch for a possible warning about an existing archive post with the same title.
Choose one or more categories
Depending on the broadcaster setting for multi-category.
Set the publication window
“Publication from” is required; you can leave “publication to” empty (then Newsroom fills it in automatically).
Choose the priority
This determines not just how the post is displayed, but also the order in which it’s published automatically when there are simultaneous posts.
As soon as these four fields are valid, Newsroom creates the post in the background — you don’t need to wait until you’ve filled in the rest of the post.
